The role

We are looking for a Team Assistant / Administrator to join our Sydney CBD office to support our growing team. The role reports into the Operations Manager to ensure our project teams are supported in their roles thereby enabling the company to be successful.

As a Team Assistant, you will be responsible for:

  • Supporting Project Teams by completing project administration as required such as minute-taking and typing
  • Assist Operations Manager with ad hoc tasks such as marketing and event organisation
  • Document control – update registers and distribute documents
  • Data entry
  • Organising travel arrangements for the team
  • Managing calendars for the team, arranging meetings and maintaining meeting rooms
  • Maintain office supplies, catering and stock control
  • Maintain office appearance (boardroom preparation, kitchen, etc)
  • First point of contact for enquiries by phone and website
  • Organising mail and couriers
  • Reconciliation of monthly expenses
  • Go to person in the team for IT related queries
  • Assisting in the management and maintenance of client relationship management (CRM) database
  • Filing, archiving, scanning, storage management and general administration

Skills and experience:

  • Team player who enjoys working with a diverse team
  • 2+ years’ experience in an office administration environment
  • Advanced Microsoft Word, PowerPoint, Excel and Outlook skills
  • Adobe InDesign experience or willingness to upskill with training
  • Ability to work under pressure & achieve deadlines with a sense of urgency
  • A passion for making things happen and seeing the results when it all comes together
  • Enthusiastic, responsive and helpful attitude
  • You are driven by your strong attention to detail & ability to multitask
  • Strong communication skills (written and verbal)
